AI lead follow-up for real-estate agencies

The call happens once. The follow-up nevergets buried again.

BrokerBud gives every caller in your agency a queue sorted by what is due, a one-tap dial from their own phone, and a five-second voice note instead of a form. The AI writes down the context and proposes the next action. Your people confirm it — and qualified leads move to a senior broker automatically, with the whole history attached.

  • Keep your Google Sheet and your own numbers
  • Hindi, English or Hinglish
  • No call recording. Ever.

01 Today

Overdue first, then what’s due, then new leads. Neha's morning, sorted by the server.

What is BrokerBud?

What is BrokerBud?

BrokerBud is lead-management software for small and mid-sized real-estate agencies in India. It imports the agency’s Google Sheet once and becomes the working database. Callers work a prioritised queue on the Android phones they already carry, call from their own numbers and record a short voice update after each conversation; BrokerBud turns that update into customer context and a dated next action. When a caller qualifies a lead it moves to an available senior broker with the full history attached, and the owner can see what is overdue without asking anyone.

Who it’s for
Brokerages with a few callers, a few senior brokers, and an owner or manager who wants to stop chasing updates.
What it replaces
A lead Sheet, evening WhatsApp status updates, and remembering what was promised on the last call.
How work gets in
One Google Sheet import, or a number typed in after an unexpected callback. Then 5–20 second voice updates in Hindi, English or Hinglish.
What it runs on
One Android app for callers, senior brokers and managers. The manager’s screens are role-gated inside the same app — nothing to install on a laptop.

01 — The problem

Nobody on your team is lazy. The context is scattered.

Your agency already finds the row, reads the old note, calls, remembers most of the conversation, types something short, promises a callback and repeats the story to a senior. Then the owner asks what happened and everyone goes looking again. The work gets done. The record of it doesn’t survive the day.

  • GOOGLE SHEET · ROW 148

    “Interested. Call back.”

Last note is three weeks old and half a sentence.

  • MEMORY · SATURDAY

“I called her Saturday. I think she said Friday, four o’clock.”

The only copy of that promise is in someone’s head.

  • WHATSAPP · 11:52 PM

“Bhai, Sector 65 wali client ka kya hua?”

Status reporting by chat, every evening. The senior restarts the story from zero.

The actual problem

A conversation happens once. The budget, the promise, the next action and the history should not depend on who remembers it.

02 — How it works

Open, call, speak, confirm. That is the whole loop.

The caller does not fill in a form after every dial. Four actions, repeated — and none of them is data entry.

  1. 01

    Open the context

The lead opens on what was said last time, by whom, and what was promised. No scrolling a sheet.

  2. 02

    Call from your phone

One tap opens the Android dialler with the number. Your SIM, your number. BrokerBud records that the dialler opened — nothing more.

  3. 03

    Say what happened

Five to twenty seconds, in Hindi, English or Hinglish. Unanswered calls need no invented notes. Microphone denied? Type two lines.

  4. 04

    Confirm the next action

BrokerBud proposes the date, the time and the task. Anything it isn’t sure of becomes a question, never a guess. One tap saves it.

03 — The unbroken thread

A lead enters once. It never has to be re-explained.

One customer, one record, eight moments. Scroll and watch the same lead pick up context, an owner, a commitment, a senior broker and a manager’s attention — without being retyped once.

  1. Enters

Row 148 from the Sheet. Phone normalised, duplicate check done, a caller assigned at intake. No lead is ever ownerless.

  2. Queued

Overdue first, then today, then new. The server sorts the day in the agency’s timezone; Ananya is on Neha's Today screen at 11:30.

  3. Called

One tap opens the dialler. BrokerBud records “Dial opened” and asks one question when Neha comes back: did you speak?

  4. Spoken

Seven seconds of Hinglish. The recording and the transcript stay attached to the lead, with who recorded it and when.

  5. Extracted

3 BHK, Sector 65, ₹1.8–2.2 Cr, floor plan first. Anything not said stays Unknown — nothing is inferred from tone.

  6. Confirmed

“Friday chaar baje” becomes Fri, 18 Sep · 4:00 pm, anchored to when the conversation happened. Neha confirms once and moves on.

  7. Handed over

Neha qualifies the lead. The server picks Arjun by round-robin. Stage, owner, open tasks and the handover commit in one transaction.

  8. Visible

The manager sees the handover and the two open tasks on Attention — not a chart, just what is due and to whom. Nothing is buried.

04 — What you get

Built for the way a brokerage already works.

  • A queue, not a spreadsheet

Overdue first, then today’s work, then new leads. Grouped by the server, in your agency’s working hours and timezone.

  • Dial from your own phone

BrokerBud opens the Android dialler with the number. It records that the dialler opened. It never records, joins or times the call.

  • Speak instead of type

Five to twenty seconds in Hindi, English or Hinglish. The original audio and transcript stay attached. Typing is the fallback.

  • Dates that mean what was said

“Friday at four” becomes a real time in agency time, anchored to when you spoke — and it is always confirmed by a person.

  • Handover by the server

Qualify with one confirmation. Round-robin to an available senior broker, everything moving in one transaction. If nobody is available, the caller stays owner and the manager is told at once.

  • Six states, kept separate

Active, qualified, pipeline stage, handover, task and contact permission are separate labels. “Call me next month” is not “inactive”, and “not qualified” is not “lost”.

  • Your Sheet stays yours

Import once, sync new rows with a button. Re-running never duplicates a person, and deleting a row never deletes a lead. BrokerBud never writes back.

  • One agency, one wall

Every record belongs to your agency and the server enforces it on every query, export and search. Support access is time-limited and logged.

05 — Built around your team

Three people. One record between them.

Nobody learns a new job. The caller calls, the senior closes, the owner intervenes — BrokerBud only removes the part where each of them rebuilds the context by hand.

Today, without BrokerBud

Scroll the Sheet, guess who is due, type a note nobody reads.

With BrokerBud

Open Today. Tap to call. Speak for seven seconds. Confirm the next action.

What you gain

  • Overdue first, always
  • No form after a call
  • Your own phone and number

Counts come from saved BrokerBud records. Activity on personal phones outside BrokerBud is not included.

06 — The CRM alternative

A CRM stores what you type. BrokerBud captures what happened.

This is not about features. It is about who carries the admin. A CRM builds fields and asks your team to keep them current — the habit that has never stuck in a brokerage. BrokerBud assumes the work already happened and takes the shortest route to recording it.

After a call, in a CRM

  1. 1Search for the lead
  2. 2Pick the right fields
  3. 3Type what was said
  4. 4Create a task and set a date

Skip one and the record is wrong. On a day with forty calls, they get skipped.

After a call, in BrokerBud

  1. 1Answer one question: did you speak?
  2. 2Say what happened, in seven seconds
  3. 3Confirm the proposed next action
  4. 4Move to the next lead

Still four steps — we won’t claim zero. None of them is data entry, and the manager’s update happens as a side effect.

Deliberately

What BrokerBud never does.

A voice note is your caller’s account of a conversation. BrokerBud keeps it as exactly that — with the audio, the transcript and who confirmed it.

  • Qualify a lead, or decide who is a serious buyer
  • Record, join or listen to a phone call
  • Read your WhatsApp chats or message a customer on its own
  • Invent a date, a budget, a consent or a negative outcome
  • Change an owner, close a deal or mark a lead dead on its own
  • Touch personal contacts, call history or recordings on an employee’s phone

07 — Who is building this

Before we built software for brokers, our family sold property.

BrokerBud is built by the second generation of a family that has worked in real estate and construction for close to four decades. We grew up around site visits, callbacks, brokers who close on relationships, and customers who remember exactly what they were promised.

That business does not need more software to maintain. It needs software that understands how the work already happens — that a good broker’s judgement is the product, and the paperwork around it is the tax.

So we did not start from a CRM data model. We started from the moment a caller puts the phone down and has to remember something.

08 — Evidence

We would rather leave this empty than invent numbers.

BrokerBud is being built alongside a working brokerage, and the first pilot runs on real leads with real callers. Until it produces evidence we can stand behind, you will not find testimonials, logos or percentage claims here. What you can do is see the product and judge it against your own workflow.

  • PLACEHOLDER · PILOT RESULT

A measured outcome from the pilot agency goes here once verified.

  • PLACEHOLDER · CUSTOMER QUOTE

One quote from an agency owner, with name, agency and city, once they agree to be named.

  • PLACEHOLDER · AGENCY LOGOS

    Logo row, drop-in ready.

09 — Questions agency owners ask

The questions we actually get.

Something we haven’t answered? Ask it on the demo

It is software that keeps a real-estate agency’s leads, conversations and follow-ups in one place, and uses AI to do the recording work instead of asking the team to type it. In BrokerBud that means a caller speaks a short update after a call, and the system produces the customer context, the dated next action and the handover record. The selling decisions stay with your people.

Get a demo

Nothing falls through between the call and the close.

Bring your Sheet, your team and one real lead. We will walk BrokerBud through your actual workflow — the calls you make, the handovers you do, the follow-ups you are currently chasing.

What the demo actually is

  • A conversation about how your leads move today
  • The caller, senior and manager views, on your kind of lead
  • An honest answer on what V1 does and doesn’t do yet

Four things, thirty seconds. A person reads every one of these.

We use this to contact you about BrokerBud and nothing else. No newsletter, no list, no sharing your agency’s details.
